Creating companies
Add an organization to your CRM, fill in the fields that matter, and avoid duplicates.
Creating companies#
A company is an organization you do business with. It is the top of the CRM hierarchy — contacts belong to companies, and deals inherit the company from their contact.
Create a company#
- Open Companies from the sidebar.
- Select New company at the top right.
- Enter the Name. This is the only required field.
- Fill in whatever else you know — you can always come back.
- Select Save.
The company opens straight to its profile, where you can add contacts, deals and activities.
What each field is for#
Name — required, and the field duplicates are matched on. Use the name the business trades under, not its legal entity name, unless you invoice the entity.
Industry — free text. Consistency pays off here: it becomes a filter on the Companies list, and "FMCG" and "F.M.C.G." will not group together.
Website — include https://. Nazzam.ai stores it as a link, so a bare "example.com" is rejected rather than silently saved as something unclickable.
Phone — enter it in international format (+20 2 2461 9000). Numbers are validated against the country's numbering plan, so a wrong digit count is caught at the point of entry rather than discovered when someone tries to call.
Email — the organization's general address (info@, hello@). Personal addresses belong on the contact, not here.
Address, City, Country — used on exports and PDF documents.
Description — context a colleague would need: how you met, who the incumbent supplier is, anything that is not a field.
Check for duplicates first#
Start typing the name in the search box on the Companies list before you create anything. Duplicate companies split a customer's history in two: half the deals on one record, half on the other, and no single page that shows the truth.
If duplicates already exist, merge by hand — move the contacts and deals onto the record you are keeping, then delete the empty one. Deleted records go to Settings → Recycle bin, so a mistake is recoverable.
Common mistakes#
Leaving the name inconsistent with reality. The name is what everyone searches by. "NCT Holdings (formerly Nile City)" is unfindable by either name.
Storing a person's phone number on the company. When that person leaves, the number stays behind on the wrong record. Personal numbers belong on contacts.
Skipping the country on international accounts. Currency and phone validation both make more sense with it, and exports look unfinished without it.
